Summary:

We are seeking a highly organized and strategic individual to join us as an Administrative Assistant III, who will focus on supporting all administrative aspects of the Client Service Team, and jointly supporting the AE's and OM. Supporting locations are Walnut Creek, Bellevue and Denver.

  • Manage incoming and outgoing correspondence with outside clients, brokers, and various stakeholders within the company.
  • Preparing and editing documents such as memos, letters, and reports.
  • Calendar management, expense reports, travel arrangements for CSM.
  • Arrange and coordinate in-person and remote meetings for CSM.
  • Plans and manages all Client Service events, trainings, and social functions.
  • Reserve meeting location(s), confirm and follow up on technology needs, make travel arrangements, catering, reservations, and security notifications as needed.
  • Assist and back-up executive assistant and other administrative assistants, when needed.
  • Prepare weekly, monthly, and quarterly reports for CSM and AE's.
  • Maintain electronic file system and contact databases.
  • Execute with spirit of collegiality, teamwork, and responsiveness to broader staff.

  • Thorough knowledge of Microsoft Suite applications

  • Outstanding interpersonal skills
  • Ability to provide leadership to other administrative staff.
  • Manage sensitive matters with a high level of confidentiality and discretion.
  • Ability to use photoshop and other tools to make visual presentations
Qualifications:

Required Education:

  • Associate's degree or Bachelor's degree.

Highly Preferred Education:

  • Bachelor's degree.
  • Several years of administrative experience
