Based in the Malvern, PA office, the Business Administrative Manager contributes to the success of Philadelphia operations by managing various administrative functions. The role is a key member of the Operations management team and works closely with the operations management. Key responsibilities include developing internal communication protocols, streamlining administrative procedures, inventory control, office staff management and identifying opportunities for operational efficiency. Ensures cost effective use of supplies, equipment and office space while adhering to FM's purchasing policies and procedures. Coordinates local oversight of and ensures compliance with health and safety programs. Serves as a local contact for employees and acts as a resource to provide local information. Serves as a local contact for employees and is responsible for referring and escalating issues to the relevant function or manager.

Responsibilities:

  • Manages administrative functions to ensure cost-effective use of personnel, equipment, and office space.
  • Responsible for the administrative support function for the operations which includes managing a team of direct reports providing various administrative duties in support of the operations and management team.
  • Coordinates onboarding and office orientation of new employees with hiring manager, information services, facilities, and security.
  • Maintains office administration processes and procedures and communicates to all employees. Coordinates internal communications including local announcements for new hires, promotions, and office events.
  • Coordinates office moves, space needs, supplies and equipment. Designated as the main contact for office and building issues. Assure all locally sourced 3rd party support, service, and supply contracts are reviewed annually.
  • Under the guidance of the risk management function, is responsible for the operations and office compliance with Environmental Health and Safety standards, regulations, and guidelines. In accordance with FM standards, ensures a safe working environment for employees, visitors, and contractors.
  • Acts as a resource to provide local information and triages employee issues and refers them to a respective departments and corporate functions including, but not limited to, HR functions such as payroll, benefits, etc.
  • Collaborates with the Business Resource Group (BRG) Committee Leads to advocate for location-specific inclusion events and initiatives as part of a division-wide BRG plan. Ensure initiatives align with Operations' business cycles to minimize disruptions. Support local coordination, execution, and communication with employees.

  • Minimum high school degree, bachelor's degree preferred.
  • Eight years of relevant business experience which includes leadership and management experience.

  • Travel 15% of the time. Main office is in Malvern, PA, but travel to the office in Reston, VA on a regular cadence is required.
