Assistant Business Office Manager (Full-Time)

SUMMARY: The Assistant Business Office Manager is responsible for managing the day-to-day operations of an office, including administrative, financial, human resources functions, and as may be directed by the President, General Manager and Operations Manager.

Core duties typically include:

  • Administrative Oversight: Organizing meetings, managing mail and correspondence, maintaining office equipment, and ensuring a clean and safe workspace, food ordering.
  • Financial Management: Developing and maintaining office budgets, tracking expenditure, managing accounts payable and receivable, and preparing financial reports for management review, tax preparation
  • Human Resources Support: Process biweekly payroll, maintain employee PTO and personnel files. Maintain insurance records, delete/add employees, enter employee contributions.
  • Policy Implementation: Establishing and enforcing office policies and procedures to streamline operations and enhance efficiency
  • Vendor and Resource Management: Managing relationships with vendors and service providers, negotiating contracts, and evaluating service quality, placing orders, tracking and entering data in Studio Designer
  • Liaison Role: Acting as a communication bridge between staff and senior management, ensuring smooth workflow and information sharing.
  • Problem Solving: Addressing office conflicts, resolving operational issues, and implementing solutions to improve office performance

Required Skills and Qualifications

To perform effectively, a Business Office Manager should possess:

  • Leadership and Organizational Skills: Ability to manage teams, prioritize tasks, and maintain efficient office operations.
  • Financial Acumen: Understanding of budgeting, accounting, and financial reporting.
  • Communication Skills: Strong verbal and written communication to interact with staff, management, and vendors.
  • Technical Proficiency: Familiarity with office management software, spreadsheets, and data management systems.
  • Problem-Solving and Decision-Making: Ability to take calculated risks and implement solutions that enhance productivity and profitability .
  • Education and Experience: Typically, a bachelor's degree in business administration, management, or a related field; prior experience in office management or administrative roles is often preferred.

Work Environment

Business Office Managers work in office settings, with minimal work from home opportunity. Position reports to senior management and play a critical role in maintaining a productive and well-regulated office environment

Proficiency or Familiarity with:

Microsoft, Google, Studio Design (preferred), HubSpot

Construction experience a plus
